Reserves
The Reserves desk is located at the Library Circulation counter on the 2nd floor of the Library. Faculty may place Library or personal materials on Reserve for students in their classes. Items will be distributed to students with a valid I.D. Materials can also be scanned and made available as electronic reserves. The Library recommends materials placed on Reserve be items expected to receive heavy use by students during the semester to satisfy class assignments.
Placing Items on Reserve:
Faculty may submit Reserves Requests electronically or in person. Faculty should drop off books or articles at the Reserves Unit. Print articles to be scanned may also be brought to library. Faculty may choose to send their materials with a student assistant. Faculty or student assistants will need to fill out a Reserve Information Card, which provides information the Reserves Assistant needs to process items being added to the Reserves Collection. Faculty can choose from the following loan options: 1, 2 or 3 hours and 1, 2 or 3 days.
- The recommended number of books and articles placed on Reserve for any class is 25.
- The Reserve Unit adheres to the Copyright Law and the relevant copy limitations permitted for educational purposes. Usually, a single copy of a periodical article will be processed for student use. Duplicate copies of print articles on paper will be made available if needed to meet high demand. Exceptions to the established guidelines can be addressed to the Reserves Assistant and/or the Head of Access Services.
- Staff from the Reserves Unit do not retrieve or photocopy information to be placed in the Reserves Collection.
- Special assistance to retrieve books not located in the library stacks, can be requested from the Reserves Unit supervisor.
- Placing journals in the Reserves Collection is strongly discouraged. Library journals may not be borrowed, so they are readily available to all users. These items are in high demand and heavily used by all students.
- Materials received up to 10 days prior to the start of the semester will be processed before classes begin.
- Processing time is usually 48 hours. Large amounts of material may require additional time. Faculty are encouraged to submit material as early as possible.
Electronic Reserves:
- The Library is able to scan reserve articles intended for remote access.
- Faculty will be given a password and instructions as to how their students may access these online articles The password and instructions can then be passed on to students in the class.
Retention and Removal
Faculty have the option remove material which they have placed on Reserve at any time. Library books will be returned to the stacks when no longer needed as a reserve item and their location in the library will be reflected in the Library catalog. Faculty owned items removed from Reserves will be purged from the Library's Reserves database. Scanned articles will be deleted or rendered inaccessible.
Items remain on reserve one semester. Faculty will then receive a list of items from the Reserves Assistant which they had placed on reserve for each of their classes with an inquiry asking which items should be retained for the following semester.
- Faculty not responding to the inquiry within the allotted time will have their personal items pulled and returned to them. Library books will be reshelved and scanned items will be deleted.
- Permanent Reserves are strongly discouraged. Exceptions will be made for materials used semester to semester, e.g. examinations.
- Materials which cannot be returned to Faculty who have left the University will be kept as gifts.
